Quality & Service Administrator

Position Summary

The Quality & Service Administrator is a new position providing support to the quality and service teams.

Key Responsibilities

Service & Repair Support:

  • Responds to customer requests to send product back for service.
  • Creates new Return Material Authorization (RMA) records in the Service Tracker System provides customers with instructions on how to package returns and handle import paperwork, if required.
  • Check return system serial numbers against the installed base database to determine warranty status.
  • Prepare quotations for service and repair work.
  • Follow up with customers on quotations and expedite the receipt of customer purchase orders.
  • Receive purchase orders from customers, attach them to the Service Tracker RMA record.
  • Create weekly RMA status reports for customers and distribute to customers.
  • Update customer portals with estimated shipping dates on a weekly basis.
  • Create shipping dispatch lists for completed RMAs with customer purchase orders received.
  • Update customer portals with repair information: root cause, parts replaced, and test results.
  • Service inventory status review & forecast for upcoming work.
  • Generate standard reports and KPIs for internal and external use.

Quality Support:

  • Create, administer, and maintain quality system documentation in support of ISO 9000.
  • Administer and maintain training programs for Quality systems, documentation procedures, and change control.
  • Maintains and provides Safety Audit, Laser safety, Calibration / Maintenance status, statistics for Operations & Quality.
  • Administrative support for ISO implementation: progress report, review of documentation / procedures and follow up.
  • Administration and support for CAPA, Audits, Compliance, Training, meetings and follow up & reporting.
  • Administrative support for Quality and compliance Audits, both internal and external.
  • Generate standard reports and KPIs for internal and external use.
Minimum Requirements and Qualifications
  • Bachelor’s Degree in Business Administration, Quality Management, or related field.
  • Minimum of 2-5 years of applicable experience in a similar position.
  • Working knowledge of software programs - Microsoft Office 365, Word, PowerPoint, Excel, SharePoint, and MS Project. ERP and Minitab experience are a plus.
  • Ability to read, analyze and interpret technical documentation, business documents, technical processes and procedures, and industry standards, models and regulations. 
  • Some technical experience is a plus.
  • Organization: Ability to efficiently manage your time, workload, information, and resources. Ability to prioritize and not lose sight of assignments and priorities. Ability to proactively take initiative and complete tasks in a timely manner.
  • Problem Solving: Ability to identify the problem, apply creativity and critical thinking in a patient, meticulous, and careful way.  Can apply deep probing to understand all angles and perspectives of the problem. 
  • Teamwork: Outstanding interpersonal communication skills with the ability to work well with both technical and non-technical personnel and influence the direction of projects.
  • Self-starting: Ability to plan and initiate work without needing a lot of instruction or being told what to do.  Can work with minimum supervision.
  • Communication – this role requires interacting with people most of the time. Must be an excellent communicator who can write and speak well, lead meetings, and maintain positive relationships.
  • Multi-tasking - Ability to oversee multiple initiatives and projects. Needs to be organized and proactive.
  • Attention to detail - the smallest details can have a significant impact, whether it’s a product design flaw or a lag in the supply chain, and directors of manufacturing should be alert for these, doing whatever they can to drive improvement
